At the start of any archive scanning project, it usually needs a face to face meeting to discuss your requirements, expectations and for us to suggest solutions and specifications. One thing is very clear, every document scanning project that we work on is different and a specification document is created for each project.
This details what you have, what you need, how we suggest it is done, how we are going to do it, how we are going to keep your data safe and costs. After the scanning process, we need to detail what happens to the Archive Boxes of paper and the erasing of the scanned data that we have on our systems.
Some scanning projects are of course more straightforward than others, perhaps simply scanning a Lever Arch file as one multipage PDF and naming the PDF with the details on the Spine of the Lever Arch.
Others may require more in-depth indexing, for example Medical Note Scanning or Patient Note scanning. These type documents are usually indexed per Patient or Medical Record, and generally indexed with the Surname, Firstname, Date of Birth, and perhaps a Patient number.
HR file scanning would follow a similar indexing specification. Sometimes a HR file is also split into sections, HMRC, Contract, Disciplinary, Leave etc.
