How Much Does Document Scanning Cost in 2026?

Costs very much depend on the requirement.  As an example, a Lever Arch file full of Purchase Invoices could be scanned as 1 large multipage, OCR text searchable PDF file, named with a summary of the contents of the file, for example:  “2026-04_Purchase Invoices.pdf”.  That is 1 Index for all 500 invoices.  

This is a simple and effective way of scanning, it means minimal indexing and the user can rely on OCR Text to search for the invoice required.  The file, of course, will be in the exact same order as the original paper file too.

The alternative, and extreme, would be to index each and every invoice.  So the 1 index above, becomes 500 indexes, for example, Supplier, PO Number, Date, Invoice Number can be indexed.   There are far more fields here and far more indexes to be created.  There are certainly instances where this sort of indexing is vital, but it should be weighed up in terms Cost Vs Benefit.

A typical archive box with the more simple type of indexing with 2500 scans in a box, would typically cost less than £100.00.
